Marketing Communications Consent

This document describes the terms under which you give your consent to receive marketing communications from Runpay Solutions SIA, the company operating the Transcripto platform. Please read the information below carefully before giving your consent.
1. What Are Marketing Communications
For the purposes of this document, marketing communications refer to electronic messages that we may send to you by email, including:
- information about product updates and new features of the Transcripto platform;
- company news and industry overviews;
- special offers, promotions, and promo codes;
- invitations to webinars, conferences, and other events;
- helpful tips, guides, and best practices for using the platform;
- case studies, research, and customer success stories.
Marketing communications do not include transactional and service messages necessary for the operation of your account (for example, password change notifications, payment confirmations, or information about scheduled maintenance). Such messages are sent on the basis of contractual obligations and do not require separate consent.

Runpay Solutions SIA is a legal entity registered in the Republic of Latvia and processes personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (General Data Protection Regulation, GDPR).
3. What Data Is Processed
To send marketing communications, we process the following categories of personal data:
- First and last name — to personalise communications;
- Email address — to deliver marketing messages;
- Company name — to tailor the content of communications to your business context;
- Industry — to send relevant materials and offers.
We do not process special categories of personal data (data concerning health, political opinions, religious beliefs, etc.) for the purposes of marketing communications.
4. Legal Basis for Processing
The processing of your personal data for the purposes of marketing communications is carried out on the basis of:
- Article 6(1)(a) GDPR — your explicit, freely given, specific, informed, and unambiguous consent, which you provide by an affirmative action (ticking a checkbox, clicking a confirmation button, or other clear expression of will);
- Directive 2002/58/EC (ePrivacy Directive) and its national implementations — with regard to the regulation of electronic communications for marketing purposes.
Your consent is voluntary. Refusal to give consent or its subsequent withdrawal does not affect your ability to use the Transcripto platform and does not entail any adverse consequences for you.
5. How We Use Your Data
With your consent, we use the data provided to send the following types of marketing communications:
- Email newsletters — regular emails with news, analytics, and useful materials about the Transcripto platform and the AI communications analytics industry;
- Product update announcements — notifications about new features, improvements, and integrations of the platform;
- Event invitations — information about upcoming webinars, online seminars, product demos, and industry conferences;
- Case studies and success stories — examples of Transcripto usage across various industries, analytical reports, and research findings.
We do not carry out automated decision-making or profiling that produces legal effects or similarly significantly affects you in the context of marketing communications.
6. Opting Out
You have the right to withdraw your consent to receive marketing communications at any time, without giving reasons, and without any adverse consequences. You may do so by any of the following means:
- Unsubscribe link — every marketing email contains an "Unsubscribe" link at the bottom of the message. By clicking it, you will be immediately removed from the mailing list;
- Email — send a consent withdrawal request to info@transcripto.eu with the subject line "Unsubscribe from marketing". We will process your request within 3 (three) business days.
In accordance with Art. 7(3) GDPR, withdrawal of consent does not affect the lawfulness of processing based on consent before its withdrawal. All marketing communications sent before your opt-out request was received are considered lawfully sent.
After withdrawing consent, you will continue to receive only transactional and service messages related to the operation of your account.
7. Data Sharing
To facilitate the delivery of marketing communications, we may share your personal data with the following categories of recipients:
- Email service providers (ESP) — for the technical delivery of emails. We use trusted services that ensure an adequate level of data protection;
- Analytics service providers — to evaluate the effectiveness of marketing campaigns (email opens, link clicks).
All our service providers are located within the European Economic Area (EEA) or ensure a level of data protection that meets GDPR requirements, including through Standard Contractual Clauses (SCC) approved by the European Commission.
We do not sell, rent, or otherwise transfer your personal data to third parties for their own marketing purposes.
8. Data Retention
Your personal data processed for the purposes of marketing communications is retained until you withdraw your consent to its processing.
After withdrawal of consent:
- your email address will be placed on a suppression list to prevent further marketing messages from being sent;
- other data related to marketing communications will be deleted or anonymised within 30 (thirty) days of processing your request;
- consent log records (date and time of consent given/withdrawn, method of consent) are retained for 3 (three) years from the date of consent withdrawal for the purpose of demonstrating the lawfulness of prior processing.
9. Your Rights
Under the GDPR (Articles 15-22), you have the following rights with respect to your personal data:
- Right of access (Art. 15) — you have the right to obtain confirmation of whether your data is being processed and to request a copy of the personal data being processed;
- Right to rectification (Art. 16) — you have the right to request the correction of inaccurate or the completion of incomplete personal data;
- Right to erasure (Art. 17) — you have the right to request the deletion of your personal data where grounds provided for under the GDPR apply;
- Right to restriction of processing (Art. 18) — you have the right to request restriction of processing in certain cases provided for under the GDPR;
- Right to data portability (Art. 20) — you have the right to receive your data in a structured, commonly used, and machine-readable format;
- Right to object (Art. 21) — you have the right to object to the processing of your personal data, including for direct marketing purposes;
- Right not to be subject to automated decision-making (Art. 22) — you have the right not to be subject to decisions based solely on automated processing, including profiling;
- Right to withdraw consent (Art. 7(3)) — you have the right to withdraw consent to data processing at any time, without giving reasons.
To exercise any of the above rights, please send a request to info@transcripto.eu. We will process your request within no more than 30 (thirty) days from the date of receipt. In cases of complex or numerous requests, this period may be extended by an additional 60 days with prior notice.

By giving your consent, you confirm that:
- you have read this document and understand what data will be processed and for what purpose;
- your consent is freely given, specific, informed, and unambiguous;
- you are aware of your right to withdraw consent at any time.
